The staffed station
Starting point for a local (OC/LA/SD) activation: crew, presses and backup equipment, display build, setup and teardown. This is the fixed base most office and retail dates start from.

Staffing
Covers the full crew clock — load-in, service hours, breaks, and load-out. A typical office activation runs a 6–7 hour crew day for 3–4 hours of guest-facing service.
Per unit
Hats & patches
Quoted by style and quantity. A Richardson 112 with a woven patch prices differently than a leather-patch Flexfit; larger orders bring the per-head cost down noticeably.

Travel
Flat fee outside the Orange County / Los Angeles / San Diego corridor — that includes Las Vegas. Local Southern California dates carry no travel fee at all.
Two worked examples
150-person office appreciation, Irvine. One station, two operators, four service hours over lunch. Base station, a 6-hour crew day, 160 caps with a four-patch menu. No travel fee. The per-employee cost usually lands well under what a comparable catered perk runs — and this one is still on heads six months later.
Three-day trade show booth, Las Vegas. Station inside your 20×20, throughput-tuned patch menu, 250 hats per day with badge-gated redemption, $900 travel, show electrical ordered through the venue. We quote crew days per show day so there are no overtime surprises on day three.
Budget guardrail: if your headcount is under about 75, a hat bar is usually the wrong spend — we’ll say so and suggest a leaner format instead.
